Now if it would just pull excerpts from the text so I could see the context, I'd never need anything else. Provided your PDFs are OCR'd or came from a digital master, this makes it pretty solid as a search. This way later when I'm reading what i wrote, I can easily quick-reference the PDFs related to it, but when I'm sifting, I can navigate to the top of my library folders and use the embedded Search bar at the top to dig for anything with relevant info in it. So my initial PDF library will have them sorted as above, but each time I write out a thesis, I will create a subfolder inside the directory with the individual works co-linked to the library. This will hold the old folder while adding the new one. and then holding down CTRL while you select the new location folder. You do this by selecting the file you want to make another link to, clicking Move to. You can 'move' a file to more than one location at a time. This would be really cumbersome in any other storage medium as it would limit my options for mixing and matching later, but not-so in Google Docs. Then I sort them by subject first, but if I know I'm going to have categorical divisions initially, I'll create a folder for the subject, then a subfolder for the topic. This distributes the work of sorting the PDFs across the point of downloading it, making it seem far less tedious to me. Many papers will have subtitles which will include : and breaks some file systems, so I tend to shift that over to a _. The 'authors as cited' bit means exactly that, I use their names as I would in an APA citation. In terms of which year format to use, I favor the international date YearMonthDay (ex: 20141216) as it will sort on the default Alphabetic sorts in most programs and file browsers. Some will be offended by this idea because of Google's having too much control over where their work is stored, but I realized many years ago that someone will always have authority over my stuff but is not me. I've since begun favoring Google Drive as it is good for reading all but the largest PDF files and can be paid for yearly at a reasonable rate. I want to be able to locate something and cite it quickly, usually, or search the PDFs for specific mentions of content.

They are always working an angle of some sort to "modernize" the experience, and in doing so tie it into a series of proprietary cloud features, etc, that I don't want. I've used a few apps targeting explicitly this kind of functionality but I've never found one I really liked.
